Description

In this task we intend to organise KDE's attendance to FOSDEM 2021, which will be held online the 6th and 7th of February.

There are two ways we can "attend" this year:

Hello team behind KDE Community,

Your submission for a stand at FOSDEM 2021 has been accepted.

We welcome you to FOSDEM 2021, our first fully digital edition.

As a reminder, this is what you can expect this year.

  • A spot on our exhibition website (stands.fosdem.org).
  • A Matrix chatroom.
  • A place to store video's.

The exhibition website is a static site generated by hugo (gohugo.io). We have set the theme and the structure, and you can add as many pages as you want. The code for the website currently lives at https://github.com/FOSDEM/stands-website . Documentation will be added shortly (and will be communicated via the list).

To get started with adding content to the website, follow these steps:

  1. Create two git repositories (public), one for your content and one for your static files. Provide us with both links and make sure we can pull anonymously.
  2. Add pages in any format Hugo accepts. Note that you cannot add more levels (if you want a deeper structure, ask us).
  3. Once every hour a script will rebuild the website.
  4. You can add links to your own website(s) as well, but we ask that you keep stand-related things on our stands website.

We'll provide more information on where to upload the video's later this month. It is up to you if you wish to create them, but we think it will add value to your stand.

More details on the chatroom will also be made available in the coming week.

This week, we'll publish the list of accepted stands on our website, and add the primary and secondary contact to standholders@lists.fosdem.org for further communication. By the beginning of next week, the exhibition website will be put online (behind authentication as it is not public yet). As soon as the infrastructure is in place, the video site and the >Matrix chatroom will be configured.

We'll send further updates to the standholders mailing list. Please bear with us, this is new for us as well

Let's discuss content.

  • What is the virtual equivalent of physical merch? A Matrix developer once talked to me about Matrix stickers (yes, Matrix supports those). I have not seen them used much so maybe people are not aware? FOSDEM will give us a Matrix room, how about having Konqi stickers for that? I'll dig out that convo and see if I can figure it out.
  • Videos of (nothing fancy)
    • Demos of Plasma Mobile
    • Apps - Krita was always popular at the physical booth; could also use some of Kdenlive, LabPlot, or... anything
    • Maybe a compilation of tips?
    • A teaser a few seconds long of Plasma 5.21
  • Although FOSDEM organisers do not provide for live video chats, we can have links in our page to our BBB. We could probably set up live AMAs (Ask Me Anything) with prominent KDE members, like Bhushan, Aleix, Nate, Eike, David(s) (any or all of the several hundred we have), Carl, Jonathan, etc., etc.. Matrix stickers do exist but I'm not sure they can be collected. But sticker packs don't exist yet and sending stickers is a sort of nonstandard feature.

Yes, agree on all points. So as not to overload the BBB and make sure moderation is easier, maybe we should have the audience ask questions in the text chat, not through a video feed.

We would have to look and see what is available. If we can migrate the collection of stickers we have for Telegram to Matrix, that would great, because FOSDEM will be using Matrix extensively during the event

Considering a lot of developers would be present, maybe a some framework demos. My knowledge of these are limited, but maybe @mart and others can help with that.

Considering it's online, we could get a few krita users to demo krita if necessary ;) (pinging @rempt, too )

The main thing about Krita at the booth though was that it attracted the eyes of passerbys. For a lot of people casually attending these events it's just one organization after another, all with flyers and banners and fancy trailers with all sorts of tech keywords, so when someone is editing a video or drawing that attracts attention, especially if the rest of the convention may be a little intangible and abstract.

Regarding video, keep in mind that peertube does live video now (without chat, though), so if you ask your local instance admin, we might be able to try some streaming there (You will need to do plenty of tests as the tech is quite new).

Thanks @woltherav . Yes, we want the demos precisely because things like live painting and editing attracts visitors both on and offline! We would very much appreciate your and @rempt 's help with that.

In other news... I was aware a new version of PeerTube was out, but not aware of its new streaming capabilities. That is great news. We'll look into it.

Hello,

Congratulations on your stand at FOSDEM 2021. Now the "real" work starts ;-)

We realise we left you very little time to prepare, and we apologise for it; FOSDEM 2021 is a new experience and our tried-and-tested recipes don't work as well in the virtual world.

Nevertheless, to recap what we already stated, this is certainly what you will get from us:

I'll explain in reverse order.

Chat

You'll get a chatroom at chat.fosdem.org (with a lot of help from the amazing Matrix people) for your stand, to manage as you wish. We propose that you create some kind of schedule (can be public, can be private) of when an interesting person will be at your stand, so interested visitors can have a chat.

We'll make sure your primary stands page links to the chatroom.

Video

In a way that still has to be developed (or at least worked out), you'll be able to upload (or rsync/sftp) some prerecorded video's (showcases, interviews, demo's, etc.) to a folder under video.fosdem.org.

We'll also make sure that there is a link from the stands page.

Website

There will be a website called stands.fosdem.org which will list under /stands/ all stands at FOSDEM 2021; organised per theme. Each "stand" has a primary (index) page with some generated content. All other pages are up to you: you can put everything on the primary page, create subpages or do something else. The website is generated with Hugo, and every stand is a directory (with _index.md) under content/stands. Your pages are thus content pages (HTML and MD), which means you don't have to care about how it looks (we'll put it in the FOSDEM theme) or how it exactly is configured; we deal with all that.

You can add static content (images, etc.) to be used on your pages.

We'll fetch all your content once per hour (when the site is up - sometime next week) with git. Therefore, in the acceptance mail, we asked you to provide us with two git repositories; one for the content files (you don't have to provide the rest of the Hugo scaffolding) and one for the static files. Make sure we can pull without authentication.

As soon as the site is up, well provide you with the link so you can check how everything will look. You can also clone our git repo and check for yourself (see the Hugo documentation for more details on how - the command is hugo serve).

If you have any feedback, ideas for improvements or just general comments, please do not hesitate to drop us an email; we'll try to integrate it. We know it is somewhat short notice, but we had to rewire our entire FOSDEM machine, and such things take some time and a lot of work. We hope this will however recreate some of the buzz of the traditional event; and we hope very much to see you all in physical form at the ULB campus in our trademarked uncomfortable chairs.

I am not sure about the card idea, @aniqakhokhar, sounds like a lot of trouble, but, then again, if we attract people from outside the bubble (doubtful at FOSDEM), it may be a good way to send out a reminder. Would you like to figure out how to make it work?

What I saw last year is people are a lot more interested in speaking to the developers (possible in a virtual conf), test hardware (more complicated this year) and getting stickers to put on their laptop (not really possible this year).

So I think, in the short time we have, we should concentrate on trying to organize some AMA and getting developers involved in these AMAs.

What I saw last year is people are a lot more interested in speaking to the developers (possible in a virtual conf), test hardware (more complicated this year) and getting stickers to put on their laptop (not really possible this year).

People are interested in the usual stuff: Plasma and the apps. So probably best to contact developers from these projects :)

Good idea. We'll be linking the FOSDEM "booth" to our own BBB instance, so hopefully there won't be much trouble. Also, we don't want something super-scripted like a presentation, just you showing off MyGNUHealth live and answering questions from the public. You know, like you would do from a real booth.

I guess it doesn't have to be very different. We can use it as a model. We would have to add a timetable for the demos somewhere at the top of the page. Maybe we can embed a live stream from YouTube live of the demos in the computer image at the top?

Where does it mention Jitsi? In the link they say they will provide a space for short videos and a Matrix room, but there is no mention of live videoconferencing.

In the mail, they send (Matrix has a Jitsi plugin). Using other platforms is authorized but it is recommended if everyone uses the same system so that people don't need to search for the stream.

Well, that may a bit much, considering it is not our event as we only have a booth. I may be better to attract that traffic directly to the booth page that @ognarb is setting up come the day, and put the effort into tweaking that page, instead of splitting it, don't you think?

You are right but posting during the event to announce upcoming demos on social media might be too many posts just like Akademy.

What happened

  • Lots of chatter on Saturday. It quieted down on Sunday
  • On average, there were 230+ people signed in to the Matrix room (which doesn't mean they were active there all the time, of course). To put that in perspective, here are the number of people signed in to a selection of other booth channels at the same time:

  • On average, we had between 20 and 60 people watching demos at any given time
  • In total, 329 people attended the chats on Saturday (not all at the same time), and 223 attended the chats on Sunday

  • Lots of engagement from audience in demos: lots of questions

What we learnt

  • The same way you cannot rely on the WiFi at a physical conference, you cannot rely on the video service of an online event. Always have BBB to fall back to.
  • You can embed BBB as a widget in a Matrix channel!!!! (Thanks, Kenny D.)
  • Some people like stickers, some people don't. There were people visiting the channel demanding stickers, though. We should figure out merchandise for online events.
  • Live painting sessions are relaxing and popular. Attendees were even more satisfied because the demo produced an actual painting
  • People doing technical demos must increase the size of their fonts
  • You do need a demo manager. The person doing the demo has too much on their hands to be attending questions, keeping tabs on technical matters (such as recording the session), etc.. This may be a thing to consider for live, offline demos too. So make sure you have volunteers for the speakers
  • There are multiple opportunities for promoting stuff, like software not included in the official schedule (we were able to talk at length about Kongress and KDE Itinerary, upcoming releases, etc.) and activities (we promoted Akademy, Luis Falcón's Fireside, etc.). You will always find a moment to squeeze these things in.
