This task is an umbrella task for all the promotional activities surrounding Akademy.

The aim of this task is to ensure Akademy 2022 is a well-attended and well-funded event.

Hey @kbkmde : Please do not add items to the task description that are not the concern of promo. The materials for the T-shirt are not decided by Promo.

I would also recommend to EVERYONE here to start using the comments to discuss instead of going in and changing the task description itself. Changes to the task description must only be made by people who are actually currently working on the task, i.e. @aniqakhokhar , @dinanouskali and myself.

One possibility for shirts is to embroider. This can allow for some customization and local manufacture outside EU and North America, saving on shipping costs. For in person attendees, probably screen printing is most economical since a bulk order can be done. For those elsewhere manufacture and customization of a single embroidered shirt is cheaper than screen printing a single shirt or mailing bulk produced shirts. There are a number of open source projects for embroidery which can be used to convert artwork files to files that can be used for machine embroidery.

There's no "announce Akademy on the dot" -- would that have fitted into the Social Media schedule? Or "announce on kde-community". I guess those are internal communications, not external Social Media things. There isn't an announcement on the dot: our usual internal news for the KDE community. https://dot.kde.org/2021/09/01/call-hosts-akademy-2022-now-officially-published is the only mention of Akademy 2022 on the dot.

Aniqa tells me you folks would like to repeat the LAS experience of posting one tweet/toot per speaker/talk. Looking at the number of engagements these posts generated on LAS's Twitter account, it is obvious these posts were not popular and were at best ineffective, when not a waste of time and resources that delivered no payback.

Similar posts on the Akademy account, given that Akademy has an even smaller following and less potential for growth, would be even less effective.

Unless you have data that proves these posts somehow helped increase viewership and/or the number of registrations, let's not do that.

If you do decide to go ahead with this I strongly advise against re-tweeting these to the main accounts or requiring they be retweetrd. Past similar actions did not stimulate any extra engagement in social media. Quite the contrary: instead we saw a drop in the growth of the number of followers when we tried a similar startegy in 2020 and we had to ditch it in following events.

In summary, this activity has no quantifiable upside, but some very real downsides.

Yeah I'm not sure that's a great idea, picking a few to highlight could be useful. Though maybe just the keynotes would be enough?

That way we don't risk drowning out the other parts of Akademy we want to highlight such as the daytrip etc

Posting one or two highlights per conference day and, obviously, about the keynotes... All these are fine and we have seen positive feedback for things like this in the past. Posting about every single talk is overkill and has a the opposite effect, unfortunately.

My proposal is to make posts regarding the program on Akademy’s Twitter and on the events that you have created on Facebook and Twitter for Akademy 2022 . As we have discussed many times we are not going to post everything on KDE’s social media accounts .

At LAS we had great results regarding the month (April) that we started promoting the program with posts, feel free to check out the analytics, If you have access. We were tagging the speakers and most of the speakers retweeting or sharing the posts which as a result brought more registrations but also engagement or more impressions and followers to LAS’s social media accounts . What was countable has to do with the analytics of social media. I need to ask If I am allowed to share some results of LAS here.

As i have mentioned to Aniqa I could also support you on this. I am sure we could ask more members of the team to help. I know it’s a lot of work but at this point we aim to have more registrations as the event is coming and to “make some noise “ on social media and bring more engagement.

With good cooperation and willingness I am sure we could make it work also for Akademy. Let’s discuss more details on Friday’s meeting or on a seperate meeting together. Thank you!

It would be nice if the promo team could make a plan with what photos do we need from Akademy event for future promo. So the volunteer photographers could be more focused on what they shoot. We completely understand @dinanouskali's points but I agree with Paul. Let's just post one or two highlights per conference day and keynotes. Let's not post a lot as we have to understand the following points:

  1. LAS' audience is different from KDE's audience.
  2. As travel support has already closed, people will not come on their own so they will not register for in-person Akademy.
  3. Yes, we can promote online sessions when we have all the details of streaming.

That is not true. Only a small number of attendees who come in person receive travel support. If we reach them there can also be a lot of locals depending on the area

Makes sense. Then let's find ways to promote Akademy to locals.

We have a huge community in Spain (KDE Espana). Let's focus on them and see if we can bring them all to Akademy.

My apologies, @dinanouskali. It was not my intention to cast any kind of aspersion on your work at LAS, as I was not referring to all posts made on the LAS account. Most of them, you are right, were good and for sure enhanced the event.

1 or 2 likes/retweets on average per post is not a good result. But it is consistent with what happened to use back in 2020. We decided not to do that again, given the amount of work it entailed and how bad the payback was. As I mentioned above, it even impacted negatively the number of followers.

In KDE España we are already doing some promo, but I suppose that some special post and info in Spanish explaining what they can found in Akademy would help.

For the Spanish community I would target KDEBLOG, Telegram Group (https://t.me/kde_canasbravas), Podcast Linux, Mancomun and Salmorejo Geek as the main channels to spread the word.

We can also make a special episode of KDE Express Podcast if someone wants to do some promo in a 15-20 minutes talk.

This is great. Let me discuss this with Akademy's team.

In order to evaluate the results of LAS promotion, we had to analyse the analytics of the whole month. As I have already mentioned, If you check them out, you would see that we had really good numbers and results. We had also posts that took many likes and retweets.

But in order to evaluate the strategy , the monthly analytics would prove the good results .

The point of this discussion is not to do what we did for LAS but to find efficient ways to bring more registrations to Akademy.
@marzal your idea sounds nice. I am glad to see more proposals and thank you all for your feedback .

We posted about every session and BoF in 2020. We prepared Insights at that time and then decided not to post about every session in future years as it was not worth the effort.

In order to evaluate the results of LAS promotion, we had to analyse the analytics of the whole month.

I was not evaluating LAS promotion as a whole. I was pointing out that the action of posting every single talk each with a custom graphic to social media did not work for Akademy when we tried it in 2020, and did not work (at least not consistently) for LAS 2022, so it is logical to suppose it will not work for Akademy this year either.

This kind of activity is very resource intensive and Promo's resources are limited. Hence I would suggest we do not tie them up with actions that have not proven effective.

And, even we had resources to spare, we noticed a drop in followers to our main social media accounts during the blast. We cannot entirely not attribute this to fatigue over an excessive number of posts on a topic many of the followers of the general accounts found uninteresting.

I would suggest what @duffus suggested above: post a couple of highlights, the keynotes, and then links to the schedule for people who want to know about everything that is going on.
