In this task, we intend to organise KDE's attendance to AME Burbank 2023

Timeline

  • Event: June 20-22

  • Create a community of aficionados and budding filmmakers around Kdenlive

I wrote a draft to the Executive Director of the AME Institute to request a booth. Comments, suggestions, corrections welcome:

Dear Ms. Adams,

My name is Paul Brown and I am writing to you on behalf of the Kdenlive project.

https://kdenlive.org

Kdenlive is full-featured free and open source video editor that is free to download, use and share. There are no license fees to pay, no registrations or subscriptions, and no premium features that require payment to be unlocked.

Kdenlive is produced by volunteer members of the KDE Community. KDE is a non-profit with headquarters in Germany, but with contributing members from all over the world, including the US.

https://kde.org

You met community members Drew and Nataniel at our booth at the 2023 STN Convention held in Long Beach in March, and invited us to participate in the AME Institute Burbank event to be held in June. We would very much like to take you up on that offer.

Thanks to its features and distribution model, we think Kdenlive is the ideal video-editing software for students and schools and, therefore, would fit in nicely with what attendees to your event would be looking for.

Please let us know what steps we have to take to ensure a place at the event.

Kindest Regards

Paul Brown

We will have to send this off asap, preferably early next week, as time is now of the essence.

Looks good to me

Filled in the registration form. Added myself as contact and @druonysus and @natanielf as potential attendees. Please don't feel pressured, Drew and Nataniel, they needed some names, we can change them later if you can't or don't feel like attending.

We figured in a meeting about 1200 stickers more or less

Unfortunately I am not going to be available to work the booth for this one. I can help plan and I can hand off the boothbox stuff to those who will be working it, but I just won't be available for the dates of this event.

That's fine. We will figure something out.

That would be super-helpful, yes. We'll organise around this. Thanks Drew!

Okay, so some personal things got canceled that should free me up to work this event. I am still validating, but a quick glace of my calendar for any other conflict seems to show that I'm clear.

This is great

Yes! great news! If anyone else can make it, we then have the perfect 2-person team again.

Thanks @druonysus

I will be starting a summer class soon which limits my availability. I cannot commit to it just yet, but with my class schedule, the only day I might be able to attend is Wed, Jun 21. It would be a couple hour ride by train, but if I'm available that day I would be able to attend for pretty much the whole session (I see 11am-5pm on their website).

Well that would be super-convenient, as the expo is just that day from 8 am to noon. I hope you can make it!

Oh I see that now, 8am-12pm, was looking at the wrong event in the schedule before. That may work, I would have to take a very early train.
Is this the correct venue adress?

I have marked myself as off of work for this week (Jun 19, 2023 - Jun 23, 2023) to make myself available to work the event. I don't expect my manager will not approve this. If for some reason he does, I will update this thread.

That is correct @natanielf . I am attaching a PDF with the details to the task description above. Please take a look at it.

I just found out some unfortunate news that may prevent me from attending the event. Yesterday, the train system announced that a section of the tracks will be closed "until further notice" due to falling debris. This means that all of the train tickets I was looking at have been canceled. This was my planned mode of transportation for the event given its distance and early start time. I will try to look into other transportation options like the bus, but unless the train service is restored, I will likely be unable to attend the event. Apologies for the late notice, I was looking forward to being there. I'll keep you updated in case anything changes.

It might be a silly question, but are there any flights available for that somewhat short distance?

I just did a quick search just to see what is available. Unfortunately the flights are quite expensive (several hundred dollars) as none of them are direct (I think the Burbank airport is quite small). Plus, with the logistic challenges that come with air travel, I don't think flying is feasible for this event.
