If we engage with individuals or local organizationd,I believe it would be good to also tell them something along the lines of "and btw if you feel your community needs more time to organize this,feel free to send us a proposal for 2021".

Where was the call for locations announced? I don't see a dot story ... was it really only sent to the community mailing list? We should try to repeat this as often as possible. Also maybe a BoF about the topic ("Think about organizing Akademy 2020? Ask us anything!")

In general I like the new layout, but 13 pages is very long. Actually it was my idea to make it shorter than that. Also try to make it (except the year we are looking for) as generic as possible.

@skadinna As you claimed the tasks one month ago: Do you have any update when we can expect a draft of an updated Call for Locations? With Akademy 2019 closing on us fast, we should get a Call for Locations out latest by beginning of September.

I already switched the 2013 menu on https://akademy.kde.org to the new https://akademy.kde.org/2013/ site. If I didn't miss anything everything should be created and nothing on the new 2013 site should link to the old 2013 site. Also the URL parts after https://akademy2013.kde.org stayed (except for files) the same, so a simple URL rewrite should be possible.
Do we need an IRC channel for this (people just interested in the tools might not be interested/"secretive" enough to be in the general organisation channel)? I would have suggested #akademy-dev :)

While that sounds good I never heard of any of those. And I was always quite active in international communities. So those newspapers seem to be very small. But if you think it makes sense, go ahead contact them :)
With less than 1.5 months until Akademy we should start the "I'm going to Akademy 2018" campaign soon. Akademy team would create the post on dot.kde.org but needs a banner/badge for it.

I assigned this ticket to @savernik (one of the local team), he offered to get in contact with local media.
I think we need to step up the promo for Akademy a bit and let the (especially local) media know about Akademy and maybe also ask them if they want to cover it during Akademy. For local media we have T7838, we might need information on how to best approach this.

That is a really nice idea. I would suggest to join forces with one or more other FOSS projects, especially for helping with the organizational part. Saturday would take away people from Akademy or you do it on the Saturday after Akademy. Or you find enough people already in Vienna 1 week before Akademy and could also promote Akademy :)

Whats the status of finishing & publishing the Call for Locations? Speaking from experience I can only mention again how important I think it is to give the local teams enough time to think this through & work on the proposal.

And here the public proposal of Vienna for 2018, with removed contact details and also the source code. Can be published together with the Call for Locations or I could publish it on my (Planet KDE aggregated) blog after the Call for Hosts is online and link to it from the comments. Anyone an idea of the best way we can do this? :)
And before publishing it this year, also change the title of the PDF to 2019 :)

CfP is still open for a bit less than one month. I think in the next weeks it would be good to promote it and ask KDE people to promote it (Twitter, Facebook, Blogs, ...). This also serves as promotion for Akademy in general.
