Date

Ideally would start for the thanksgiving (26 November) but maybe we should start during black Friday (25 November) and end the active promotion early January

Goals

  • Restart our end of year compaing initiative after a few year of inactivity
  • Get as many recurrent donations as possible
  • Help us switch to Donorbox the soonest as possible since civicrm is using a eol drupal version and we don't to rely on this system anymore

Tasks

  • Prepare blog post explaining why it is important to donate money
  • Setup donor-box fundraising for KDE
  • Prepare post for social media
  • Setup a landing page for the fundraiser in kde.org
  • ...

I am very interested in helping out with this in any way. +1 for moving to DonorBox on https://kde.org/community/donations.

I can work on the blogging side.

I can setup Donorbox for KDE. For that to happen, I need some info:

For one time donations, we will need a campaign like the one for KdenLive, so we need to figure out the tiers(just the amounts). And for membership, is another campaign that has monthly and yearly subscriptions that we still need the tiers (amounts and names) to be defined too.

We already have a page for the fundraising for membership that I have created when trying to use donorbox in the beginning: https://donorbox.org/kde-community, but of course is not ready.

What Kdenlive already has seems great IMO:

Making the bottom tier be $30 would be good IMO, to match the pre-selected one-time donation amount on kde.org/donate.

Hmm. Checking again, I can see that a fundraising campaign can allow a couple of options:

But those options are not considered membership inside Donorbox. idk if we may have a problem with it.

Donorbox classification for memberships:

With Memberships, you get the ability to tag donors into different tiers which allows you to manage and provide benefits based on those tiers.
You can send personalized communications based on these segments. This allows you to nurture your relationships with your supporters in a more efficient manner.
You can recapture your lapsed supporters and upsell to your present members which significantly improves your financial stability and forecasting.

If the board thinks that this is not really needed for membership, we can ship only one form as a fundraising campaign like Kdenlive, with or without an amount of goal.

The bylaws just say that to become a supporting member, you have to be "[...]supporting the Association’s purposes and aims primarily through financial or material contributions." They do not list a particular level of contribution that make you a Supporting Member. Right now, at https://relate.kde.org, we're saying that it costs 100€ a year. But because this is not required by the bylaws, in theory I guess we could change that to any other amount.

If we want to keep it, perhaps we could set up the donation form in such a way that if you write in a recurring donation that ends up being equal to or greater than 100€ per year, the web page says,

"Thank you so much, this level of donation will make you a Supporting Member of KDE! You will earn the right to attend the Annual General Meeting as a non-voting member, and proudly display the 'Member of KDE' logo on your website or printed materials!"

In 2014 there was a vote proposal by @cschumac to make "Flexible fee for individual supporting membership ", but I can't find the vote results. I think Cornelius says that this was approved, maybe we did that in an AGM? Cornelius do you remember?

We have flexible membership fees now but have not set the new tiers yet. We will look into that.

As for how we want things to be recurring: from the accounting side we very much don't want something monthly or even more regularly. It creates a lot of overhead during bookkeeping. Quarterly is ok but annual is even better from that perspective.

About regular/recurring donors: We do want to push people to become supporting members. This should be an explicit choice. We prefer this over someone being a regular donor but not a member. And we can not just count any regular donor as a member. Those are handled differently in accounting and they are also receiving different benefits.

After a quick meeting with @lydia today, these are the following updates:

  • We will have 2 campaigns: one for membership where we will only allow donations for the Annually option, and the other for the end of the year that can be a campaign with a deadline, or we can use this campaign for the ongoing donations.
  • We need a landing page that shows the buttons for an available campaign, with the proper message to incentive the donations through membership.
  • We also need a “Thank You” page to be redirected after the donor finishes the donation.
  • Would also be nice to have an email template for the receipt of the donation for the membership campaign:

I have activated the "Subscribe to our mail list" button, and to send the emails, we need to export the csv data from donorbox and filter it, like this support ticket shows.

The tiers for membership are: 100, 500 and 1000 euros. I would like to know if these values need to be changed.

Not a fan of this :( We want to encourage people to give recurrently (either annually or quarterly). If for the end of year compaign, we only ask people to give a one time donation, this won't contribute to this goal. I much prefer having a end of the year donation campaign encouraging people to give recurrently and also allow to do a one time donation instead of having two seperate compaign that needs to be promoted separately.

Also donation tier of 500 and 1000€ are pretty much unrealistic, very few people have so much money to give away.

@ognarb We need two campaigns because of the bookkeeping of the board. What was though is that we will have one page pointing to both of the campaigns, one to be a member and one for the end of the year (that can be turned into one of always running campaign). We won't target two different Donorbox pages, we will target two Donorbox forms inside a page that we need to build.

Also donation tier of 500 and 1000€ are pretty much unrealistic, very few people have so much money to give away.

Considering that this will be 1 donation yearly, I am not convinced that is unrealistic, but that is for the board to consider.
